HR and Admin Coordinator Department: HR and Admin Department Reports to: General Manager About the Role The HR and Admin Coordinator is responsible for leading and managing all human resources and administrative functions to ensure an organized, compliant, and efficient workplace. The role oversees recruitment, staff affairs, payroll coordination, office administration, compliance, and operational support while ensuring proper implementation of company policies and labour regulations. Duties and Responsibilities Human Resources Responsibilities Lead recruitment and onboarding processes including job postings, interviews, offer letters, and induction. Maintain and update employee records, staff files, contracts, attendance, leave balances, and HR databases. Supervise attendance, overtime, and leave tracking and coordinate with Payroll & Compensation for monthly payroll processing. Review payroll related data including deductions, allowances, advances, and end-of-service calculations before final submission. Handle employee relations matters including complaints, disciplinary actions, warnings, and conflict resolution. Support performance appraisal processes, KPI tracking, and staff evaluations. Coordinate training, staff development, and capacity-building initiatives. Ensure compliance with labour law, organizational policies, and HR procedures. Prepare HR reports, staff statistics, and management updates. Maintain confidentiality of employee and payroll information. Support compensation adjustments, promotions, transfers, and employee status changes. Coordinate staff medical insurance follow up and related documentation. Administrative Responsibilities Oversee office administration, supplies, utilities, cleaning services, and maintenance activities. Supervise filing systems, documentation, correspondence, and reference tracking systems. Organize meetings, schedules, travel arrangements, and company events. Ensure office equipment and facilities are functioning properly and coordinate repairs when required. Manage vendor relationships, contracts, and service providers. Coordinate safety, security, and workplace administrative standards across all departments. Monitor office and operational areas to ensure cleanliness, organization, and compliance with administrative procedures. Handle communication and coordination with external parties and government related matters when required. Qualifications and Requirements Bachelor’s degree in Human Resources, Business Administration, Accounting, or related field. Minimum 3–5 years of experience in HR, administration, payroll, or related functions. Strong knowledge of labour law, HR practices, payroll coordination, and administrative operations. Strong leadership, communication, and interpersonal skills. Excellent reporting, documentation, and organizational abilities. High level of confidentiality and professionalism. Strong proficiency in MS Office, especially Excel.
