Basic monthly salary (taxable): 1041 $ to 1243 $ based on experience salary calculation (excluding other benefits offered by the organization) Hierarchical / Functional / supervisor/ line manager: Logistics Head of Department Manages: Handy man & Store Keeper Objective of the position: Implement the logistics policy of the mission to ensure good logistical performance and provide the best possible support to the programs in terms of storage Mission 1: Supervise the stocks Activities: Guarantee that the procedures and instructions of stock management are followed. Implement buffer stock and establish a replenishment level if necessary. Ensure regular inventory of the stock (monthly and randomly). Ensure that the stores are hygienic, clean and ventilated Draw up a monthly inventory. Ensure the deliveries are done according to the request Insure the management of the SFU/Stock Report and keep it updated Ensure the record of the stock movement, keeping the stock card update on a daily basis (in/out movement). Advise the Base logistician, PMs before the stock of the consumables items run out. Ensure that always the store is secure and the doors are properly locked. Make sure that all the documentation match together (physical inventory, bin cards, stock cards, Stock report) Monitor regularly the storage conditions Monitor the state of the premises on weekly basis. Mission 2: Ensure the proper management of the goods: Activities Maintain accurate records of all decentralized stock in line with ACF procedures. Prevent losses through strict adherence to indivisibility rules and packaging rounding management. Ensure that all items are stored in a way to be counted, and packed correctly respecting ACF standard. Ensure that dangerous items are separated from food and sensitive items and that they are stored according to guidelines To conduct the overall physical monthly inventory to prepare the monthly stock report. To control the expiry dates of the items, applying the FIFO or FEFO international rule (First In/First Out – First Expired/First Out) Keep the expired items separately but in secure place, inform the base log and arrange the disposal Destroy all expired or broken items Control temperature in Pharmacy several times per day Set up proper area for fuel and Diesel Close Follow up on the Pharmacy management Organoleptic check on food items Isolate product such as chlorine, etc. Mission 3: Supervise the Storekeeper Team. Activities Establish a work plan; Control the planning of the Storekeeper team Delegate the activities and check that they are properly executed; In case of absence of a direct team members, take over the activities Organize training sessions; Carry out appraisal interviews Provide technical support to the team if necessary. Taking part in the recruitment of his/her teams Organizing and leading team meetings Working out and monitoring individual action plans for team members Managing planning operations, task sharing and coordination of work Providing for evaluation interviews for team members Providing technical support to the teams Identifying the training needs of team members Organizing and leading training sessions Managing difficulties in the team Mission 4: Archiving/Reporting Activities: Make sure all the stock documentation (Stock card, Bin Card, Temperature FU, DN/RN, Monthly Stock Report) is archived in hard copy in the archiving room Compile the stock Report at the end of each month for the monthly log report Produce necessary Loss Report if needed Implement a proper archiving in the cupboards on regular basis Send Stock Report at the end of the month to Supply Manager Additional Responsibilities This job description is not intended to be all inclusive and the employee will also perform other related tasks as required and responsible for reporting and communication of progress and achievement of the specific assigned task. Maintenance of high technical standards. Conduct all duties in a professional manner in accordance with the mission Safeguarding Policy, Code of Conduct, Internal Rules and Regulations, mandate and charter of principles including promotion of gender equality. The employee is also required to remain alert and responsive to any child and adult safeguarding risks, acquire relevant knowledge and skills to promote strong safeguarding practices, and conduct duties in a manner consistent with the mission Safeguarding Policy. Required Qualification, Skills and Experience Education: Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field. Experience 1-2 years of experience in Warehouse Management. Strong knowledge of inventory systems, import processes, and compliance frameworks. Proficiency in ERP systems and LINK platform (or similar). Knowledge & Experience in Warehouse Management. Technical Skills Excellent organizational, analytical, and reporting skills. Knowledge of the office suite. Capacity to anticipate and plan activities. Knowledge & Background of ICT management. Knowledge in Logistic & Supply Chain Management.
